Key Details about Rwanda Safari and Gorilla Permit Cancellation
- Upfront Payment: Clients typically pay an initial 20% of the total safari cost as an upfront payment. This amount is directly remitted to the lodges, confirming your reservation.
- Re-Scheduling: If unforeseen circumstances arise and you are unable to travel, you can reschedule new dates. To proceed with rescheduling, we require proof of the reason for your inability to travel. Failure to reschedule results in the forfeiture of the initial 20% upfront payment.
- Refund within 6 Weeks: After making the payment of 80% within 6 weeks of your intended travel to Rwanda, Trek Africa Expeditions will refund 40% of the funds. This refund applies to unused services such as vehicles, fuel, guiding services, and other related unused services.
- Importance of Rescheduling: If rescheduling is not an option, clients risk losing up to 80% of the total safari cost. Many service providers may rebook safari dates, making rescheduling a preferred choice.
- In Case of Tough Situations: In situations like the unfortunate event of death, the next of kin listed on the booking form can travel on behalf of the deceased. Alternatively, upon submission of a death certificate, the deceased’s estate will be refunded 20% of the total safari cost.
- Primate Permit Payment: Clients confirming their safari are required to pay the full price for primate permits. This payment is non-refundable but can be rescheduled if requested, provided it is done so before six weeks.
Cancellation and Re-Schedule of Rwanda Gorilla Permits
- Communicable Diseases: If clients develop signs of communicable diseases during their gorilla tracking experience, the activity will be discontinued. In such cases, a refund can be issued by Rwanda Development Board, following their terms and conditions.
- Avoidable Accidents: In the event of an avoidable accident occurring during the activity, it may warrant a refund. Please contact Rwanda Development Board for further guidance.
- Natural Disasters: When unforeseeable natural disasters, such as death, occur before your travel to Rwanda, several letters of confirmation will be required to process any refunds.
Gorilla Permit Payment Timing
For travelers living and working in Rwanda, last-minute availability inquiries for Rwanda gorilla permits can be made. However, those who do not reside in Rwanda but plan to fly in for gorilla tracking should book at least three months in advance for the months of October, November, December, January, February, March, and May. For travelers planning to visit in June, July, August, and September, which coincide with the summer holidays in Europe, we recommend booking at least six months in advance.
